TRANSCRIPTS ARE COMING!
Students will be able to access their transcripts in 2016 reflecting their 2015 training as submitted to the National Centre for Vocational Education Research (NCVER) data collection by their RTOs.
Please be mindful that the data you submit for 2015, and beyond, needs to be of the highest quality, accurate and complete so that students have a complete training record going forward. This same information will be used to consider credit transfer and RPL by RTOs and by other bodies for funding.
Any errors found in transcript information will need to be corrected not only in your student management system but also in the NCVER data collection, so submitting accurate data the first time will save time and effort for you and your graduates.
CREATING USIs FOR YOUR STUDENTS? MAKE SURE THEY KNOW.
Many RTOs create a USI for their student and may have a tick box permission to do so as part of their enrolment form but not all RTOs make it clear that they will create a USI for their student. The most common USI Help Requests cause is when both an RTO and a student try to create a USI for the same person. If you have created USIs on your students' behalf, you must notify them as soon as possible.
Also, to avoid unnecessary effort, always ask your students if they have a USI before creating one. Even if they don't know their USI you can use the locate function to find one that has already been created for them. Once you have tried to locate a USI, and have determined that there is no existing USI, you can then proceed with creating a USI on the students' behalf. Use 'LOCATE' first to save time for you, your student and the USI Office.
DON'T FORGET TO VERIFY USIs AS QUICKLY AS POSSIBLE!
A key thing to remember is you must always verify each USI you collect. You should undertake verification during or soon after enrolment as this is the easiest time to work with the student to address any issues (It can be very hard to track them down later!).
Even if you do not create a USI on a student's behalf, you must remember to collect and verify a student's USI before conferring a qualification or statement of attainment, unless a specific exemption applies.

TOWN/SUBURB, STATE and POST CODE LISTING AVAILABLE
The USI Office has made available to Organisations a file listing of valid Town/Suburb, State and Postcode combinations used in the USI Registry System.
Organisations need to update the version of the Postcode list integrated in their respective Student Management Systems to validate the details being entered by their staff on behalf of a student.
The Postcode listing is a CSV file and can be accessed by connecting directly to the USI Organisation Portal. The listing is updated regularly and the July 2015 version can be found through "View Reports" option titled 'Standard Postcode File 31072015'.
